The One Checklist

1) Pick the right test documents (3 minutes)

Use real documents, not the "perfect" ones.

  • 5 receipts (at least 2 different merchants)
  • 3 invoices (at least 1 multi-line invoice if you have it)
  • 1 tricky item (foreign currency, VAT split, low-quality photo, or a crumpled receipt)

This mix tells you more than running 15 identical coffee receipts.

2) Do your first upload (2 minutes)

Keep the first run intentionally small.

  • Upload 5 documents in one batch (the Free Trial batch limit)
  • Mix receipts and invoices in the same batch
  • Name the batch (or tag it) so you can find it later

3) Review results like a pro (5–10 minutes)

You're not looking for "perfect." You're looking for fast, correctable, consistent.

  • Spot-check these fields on each document:
    • Vendor / merchant name
    • Date
    • Total
    • Currency
    • Tax (VAT) if present
  • Check multi-line invoices for:
    • Line item totals matching the grand total
    • VAT rate consistency (if shown)

If something is off:

  • Correct it once
  • Confirm the corrected value is what exports

4) Export checklist (2 minutes)

This is where most trials accidentally fail: people test extraction… but never test what they actually need (the output).

  • Export the batch to Excel
  • Export the same batch to CSV
  • Confirm the columns you care about exist (vendor, date, total, tax, currency)
  • Confirm your spreadsheet opens cleanly (no weird delimiters, no broken dates)

5) "Would this replace typing?" decision test (60 seconds)

Answer these honestly:

  • Would I trust this output enough to use it for month-end?
  • If I had 100 documents, would I rather review + correct… or type everything?
  • Did export give me a spreadsheet I can actually work with?

If you check "yes" on at least 2 out of 3, Glyf is already doing its job.

6) Trial optimization (optional, but smart)

If you still have scans left, use them to test edge cases that matter to you:

  • A vendor you use every week
  • A different country / VAT format
  • A low-light phone photo
  • A PDF invoice with multiple sections

This confirms reliability under your real conditions.
